Pet licensing isn’t a fun experience. At least it wasn’t until DocuPet was launched. Our pet owner-centric approach provides real value and a modern experience that today’s consumers expect.
We provide an optimized online licensing experience, attractive durable tags, a proven Lost Pet Alert service, and a high-value rewards program – all in order to provide the necessary incentives for pet owners that drive license sales.
Smart Pet Tags
No more stamped hearts and bones. Our high quality tags are branded with the logo of the pet owner’s City or Town on the front, and a City or animal control phone number and license number on the back. Our license numbers are alphanumeric and are assigned to a pet as soon as it is licensed. This license number stays with the pet until a new tag is requested or ordered. A pet owner can keep the same tag for their pet upon renewing their license, or they may choose to get a new one. The license number can be searched on the City-specific website and DocuPet.com to find out who the pet is. It is tied directly to a pet’s online profile. Did we mention that the tags come in two sizes? Whether the pet is large or small we have the right sized tag for them.
All the information that is collected about a pet during the registration process is stored in the pet’s online profile, but it doesn’t end there. Pet owners can add photographs, caretaker and medical instructions, and a plethora of other information to their pet’s online profile. Pet owners have full control over their (and their pets) privacy settings, choosing what information they want to Always Display, Never Display, and Display Only When Pet Is Lost.
Lost Pet Reports
A pet owner can use the DocuPet platform to report their pet missing directly from the online profile. After providing the necessary information (such as what happened, was the pet wearing his or her collar and/or tag, and dropping a pin to sync with Google Maps and establish an initial search radius), the report is submitted and email notifications are sent to DocuPet staff, relevant City staff (such as customer service and animal control), and members of the Lost Pet Brigade: pet owners in your community who opt in to receive email notifications whenever a pet is reported missing. A lost pet banner will also be published to your City-specific DocuPet website so that all visitors to the site will see the report as well. Well over 100 pets have been reported lost through our system and we see that over 95% of them are returned home to their owners.
Found Pet Reports
More often than not, lost pets are found before they have been reporting missing. When an individual finds a pet, they are able to look up the pet online using the license number. If the pet is not wearing a tag, or the pet owner has not made their contact information available to the public, the “finder” can fill out a found pet report with their information. Their information is emailed directly to the found pet’s owner. DocuPet will contact the finder by phone to assess the situation and proceed to contact the pet owner by phone to begin the reunion process. Most often the pet owner reads the found pet email immediately and is in contact with the finder before we are! This feature has been used to reunite upwards of 160 pets with their owners since its launch in February, 2017.
The day will come for every pet, and this can be a very difficult time for pet owners and families alike. When we learn of an owner having to say goodbye to their pet we send a sympathy card expressing our sincere condolences. Included with this card is pawprint shaped “seed paper”, a plantable memento that allows pet owners to grow forget-me-knots (if planted) as a tribute to the member of their family. Never forgotten.
Simple & Secure Online Licensing
With a modern, streamlined digital platform, pet owners can license from the comfort of their own home in as little as 5 minutes.
Pet owners can opt in to automatic renewals, meaning their credit card will be charged on the appropriate renewal date and preventing them from forgetting to renew. An emailed renewal notice will still be sent to them prior to charging their card, so that they can update any pertinent details (such as a new address or a new Credit Card number).
Digital Renewal Notices
By offering online license sales, we are able to communicate with pet owners via email. This free and automated service allows us to email multiple renewals notices to pet owners, ensuring they get the message and remember to take care of their obligation to license.
If pet owners forget to renew following email reminders, they can be placed into our automated call queue to renew over the phone. Once they receive a call, by pressing 9 they will be connected directly to DocuPet customer service and presented with the option to renew over the phone.
Continuation of Traditional Avenues
Not everyone will license online. We allow your City to still offer all traditional licensing options (such as in person, retail vendor, and mail in). These sales, however, will now be conveniently processed through DocuPet.
For pet owners that want to license online but may require assistance, or don’t have access to a computer we offer licensing kiosks. Your city has the option to offer kiosks at traditional licensing locations (such as City Hall or the local animal shelter).
Annual Licensing Package
When a pet owner licenses a new pet for the first time or renews an existing license, they receive the relevant information and materials from DocuPet via mail. This package may include a license tag (first time or replacement), confirmation of payment, information about DocuPet, updated rewards cards for continued participation in the rewards program, and tangible direct incentives such as coupons for dog food. These packages are mailed out the same day the order is placed.
Email Reminders & Renewal Notices
On average, we see 60% of your existing users come online within the first year of offering DocuPet. This number continues to increase in subsequent years. With these online users providing their email address, we are able to automate all communication to these pet owners. Renewal notices are personalized to the pet owner and they feature links directly into the pet owner’s existing online accounts to take the necessary action.
Pet owners who we not have an email address on file for will still receive mailed renewal notices, but these too will be personalized with instructions on how to easily renew their pet’s license.
Pet owners can choose their preferred method of communication (phone, email, or mail) so that we are connecting with them on their terms.
For The Owners:
We aim to make the value of an annual license outweigh the cost of an annual license. With the DocuPet Rewards Program, licensing quickly becomes a net financial gain rather than a burden. We will partner with local businesses in your community allowing them to offer deals and discounts that are specific to licensed pet owners. We may at times work with national organizations as well, who are capable of providing direct, tangible rewards directly into the fulfillment package.
A licensing website should never be a once-a-year visit. DocuPet provides a variety of educational articles, pet advice and useful content for pet owners on your city-branded licensing website.
Ongoing Email Communication
Pet owners can opt in to receive emails from the DocuPet system sharing information on best-practices for pet owners, timely holiday tips and advice as well as local warnings on disease outbreaks, just to name a few.
When a pet owner licenses, they have the option of joining the local Lost Pet Brigade. What this means is that every time a pet is reported missing in your city, these users who have opted in will receive the same email that DocuPet staff and City staff receive, allowing them to be on the lookout for lost pets in their neighborhood and ultimately their city. It’s all about building community and connecting local pet owners.
Rewards On Demand
Similar to the action above, pet owners can opt in to receive an email every time a new business joins the rewards program. This ensures they are fully up-to-date and able to access deals and discounts from all participating businesses as quickly as possible.
DocuPet Customer Service
We are pleased to offer customer service in three convenient ways: over the phone, by email, and now live chat, where pet owners can chat with customer service staff directly on the website if they require assistance working through the licensing process.
